How to Submit A Leave Request:


1) Login to MyBlueRidge (https://my.blueridge.edu) using your BRCC username and password. If you are using your BRCC-assigned computer, you might be automatically logged in.


2) Select the "Employee" menu, then select "Leave"




3) The "Leave" screen allows you to:

  • Submit a leave request
  • View your current leave balances
  • See how much leave you have earned so far this fiscal year (July 1st - June 30th)
  • See the rate at which you earn leave
  • See how much leave you have taken so far this fiscal year (July 1st - June 30th)


4) Click the "Request Leave" button

  1. Specify the leave type. (You won't be able to see your current balance until you select a leave type)
  2. Specify the start and end dates.
    • If your leave is for a single day, the start and end dates will be the same
  3. For each day in this leave request, specify the number of hours you will be on leave
    • If you are taking a full day of leave, you must specify the correct number of hours for that day
    • During our regular schedule, a full work day is 8 hours. During our summer schedule, a full work day is 10 hours
  4. If you leave request is for less than a full day, please click the "Comments" button to let your supervisor know when you will be out that day.
  5. Once your leave is entered, you must click "Submit" to send the request to your supervisor for approval
  6. If you need to continue editing the request, you can click "Save" to save a draft of the request. Drafts are only visible to you - your supervisor will NOT be able to review or approve your request if you do not "Submit" it.



How to Change or Withdraw an Approved Leave Request:


Once you submit your leave request, the only way to change or cancel it is to Withdraw your request.


Important note: You supervisor will be notified of your withdraw request and your supervisor must approve the withdraw request before you are able to make changes to it.


To withdraw a request, click on the approved leave request, then click the "Withdraw" button:



Understanding your current Leave Balance and Estimating Future Leave Balance


You can view your leave balances for all your available leave types in the main "Leave" menu.


(Fiscal year = July 1 - June 30th)


"Starting Balance": This display the amount of leave that was carried forward from the previous fiscal year.


"Earned": This displays the total amount of leave you have earned during the current fiscal year. You can click on the underlined number to see details of how much leave you earn per pay cycle.5


"Used": This displays leave that has been approved and taken during the current fiscal year. You can click on the underlined number to see details of when your leave was used.


"Balance": This displays your current available leave as of the start of the current month. This will not take into account any leave requests that are pending approval.


Actions -> View: You can click on the "View" button to see additional details including the rate at which you earn leave and the maximum amount of leave that can carry forward between fiscal years.


Projecting Future Leave Balances:

To estimate the amount of leave you will have available in a future month:

  • Determine the rate at which you earn leave and multiply that by the number of months until the month you plan to take leave minus any leave you will take between now and the future date
  • For example,
    • Current balance = 10 hours
    • Rate earned = 8 hours
    • Number of months until planned leave: 4
    • Projected future leave = 10 + 8 * 4 = 42 hours




Requesting special leave types: Jury Duty, Community Service, FMLA


If you need to request Jury Duty, Community Service, FMLA, etc., or any other types of leave that doesn’t show on your dashboard, you will need to contact your supervisor and HR to have this leave approved and added to your SS/MyBlueRidge. 


Leave that can be put into SS/MyBlueRidge

  1. Community Service Leave/Child Involvement Leave

  2. Jury Duty


Leave that will not be used in SS/MyBlueRidge

  1. Paid Parental Leave

  2. FMLA/FMLA for Military personnel


The purpose of this is to make sure that the leave has been approved and to also make sure that the appropriate amount of time is added. 


How to Approve Leave (Supervisors):


When an employee submits a leave request or requests to withdraw an already approved request, you will receive an email notification.


These email notifications will be from "no-reply@blueridge.edu" and will have a subject such as "Leave Request Submit Notify".


1) You can either

  • click the link in the email notification to get to the Employee menu in MyBlueRidge
  • or you can use your favorite web browser and go to MyBlueRidge (https://my.blueridge.edu), select the "Employee" menu, then select the "Leave Approval" menu.



2) Adjust Filters as needed


You can use the "Filter" menu on the left to adjust what leave requests you see.


In general, we suggest you set the filter to see:

  • Leave requests that are either Submitted or have a Withdraw Pending
  • We also suggest you keep the "Leave Balance" option checked so you can see the employees current leave balances and accrual rates
  • In order to keep your view focused on employees with outstanding requests, we suggest you do NOT include "Employees with no outstanding leave requests" 



3) Approve or Reject request


  • Use the respective buttons to either Approve or Reject a request.
  • If you approve a request, you should follow your divisions standard procedure for documenting leave requests. Most divisions maintain a division-wide "Leave" calendar. You should update that calendar whenever you either approve or accept the withdraw of a leave request.
  • If you reject a request, you should enter Comments to explain to the employee why the request was rejected.
  • If any adjustments are needed on the leave request, you must Reject it to allow the employee to edit the request.






We strongly suggest you avoid using the "Unapprove" button. It is useless and will make your life more difficult. Trust us!
