Documents signed with a digital signature platform such as DocuSign or AdobeSign need to be downloaded in a specific way in order to ensure we retain critical metadata. This metadata is needed to ensure we can prove the document was signed by the person(s) it was assigned to.



Important Note: We will lose access to all documents stored in DocuSign on June 30th, 2024. You must follow the steps below to download and properly store DocuSign documents prior to June 30th, 2024.


Please follow the steps below to download documents from DocuSign:


1. Login to your DocuSign account at https://docusign.com

2. If prompted, use your BRCC issued email address as your username

3. If you are using your BRCC-issued computer, Select "Use Company Login" to quickly login. Otherwise, enter your current BRCC password.


4. Go to "Completed" documents


5.Click the "Edit" filter button towards the top of the page. Adjust the filter settings as needed to see ALL documents you need to download.


6. Click on the "Download" button on the document you wish to download


7. Select "Combine all PDFs into one file"

This step is necessary to ensure the file that is downloaded contains the proper metadata for a legally binding signature.


8. Save the file to the appropriate location and set an appropriate file name


Consult with your supervisor or division VP to determine the proper location to store documents downloaded from DocuSign. 


In general:

  • Documents that are governed by legal document retention requirements such as employee records, student academic records, legal contracts should be stored in our SoftDocs document archival system.


Can I download many files at once?


Unfortunately, there is not a way to 'bulk' download completed documents from DocuSign using our current version of DocuSign. DocuSign sells an additional tool that will allow bulk download of a very large number of documents. Please consult with your departments budget manager if you have a very large number of documents and feel the cost of the download tool would be worth it. There are also 3rd party tools that claim to be able to bulk download documents. However, those tools do not properly download the necessary 'metadata' to ensure the documents will be legally enforceable. In addition, these tools are not reliable and might overwrite documents that have the same name or cause other, difficult to troubleshoot issues. Therefore, BRCC does not support using any 3rd party tools to download documents from DocuSign.
