Part 1: How to Subscribe to the College Public Event Calendar


Step 1: Open your Google Calendar – Log into your email, click the grid in the upper right corner, and select “Calendar.”


Step 2: On the left side menu, scroll down to "Other Calendars" and click the 3 dots next to "Other Calendars,"  then select “Subscribe to Calendar”


 


Step 3: In the "Add Calendar" text box, type "College Public Events". 


Step 4: (Optional) Scroll down to the "Other Notifications" section of the page, and use the drop down menu to receive "New Events", "Changed Events", and "Canceled Events" notifications via email.


Step 4 above is optional and explains how you can see updates regarding any event on the "College Public Events" calendar. If you accept an invitation to a specific event on the College Public Events calendar, you will automatically receive the same reminder notifications in your web browser and on your smartphone as you receive for other meetings on your personal calendar. 


Part 2: How to publish events (Only for designated managers of the Public Event Calendar)


Step 1: If you have not already done so, follow the steps above to subscribe to the College Public Events Calendar.


Step 2: Follow the same steps you normally do to create a new calendar event - with the following two exceptions:

  • Use the drop down menu to select the "College Public Events Calendar" instead of saving the event to your personal calendar.
  • Change the "Free/Busy" drop down to "Free" so that the event does not appear on your personal calendar (unless you plan to attend the event yourself)

 


Step 3: Fill in as much detail as possible on the event. Consider copy-n-pasting the template below into the "Description" field of the event and modify as needed.

Instructions: Accept this event invite if you WILL attend the event. Do NOT accept this invite if you do not plan to attend this event.

Description of Event: This is an example event intended to demonstrate the functionality of Google shared calendars. 

Who should attend: Faculty in the Arts and Drama Department as well as social staff members interested in furthering the College's relationship with the Flat Rock Playhouse.

How many employees should attend: At least 1 faculty member and up to 3 staff members. *Once the requested number of employees have "Accepted" this event, please do not


Special Instructions: See Ben Rickert to bring relevant marketing material for display and distribution. 


Step 4: Add individual employees or groups of employees to the event and save it. For example, you can add:

  • Individual employees: Dr. David Stegall, Steve Young, Amy Williford, someone@somewhere.org
  • Leadership Team
  • Faculty
  • Full Time Employees
