In Internet Explorer, navigate to share.blueridge.edu while on campus (or VPN'd in).

  1. Go to HR Forms > Faculty Credentials.

  2. In the top breadcrumb, select the view you want to download. Select "Check Complete" for the basics on a form to determine where it is in the process and select "Roster" for a full download of every field on every form. If you need a specific view with pre-filtered options, please contact Amy and she can build it for you.

  3. To export the view as an excel spreadsheet, select "Library" in the upper left and then select "Export to Excel."

  4. A box will open at the bottom of your screen asking if you want to open or save the file, select "Open."

  5. Once Excel opens, you will get a security notice pop up, select "Enable."

  6. Save your file to a place on your g or h drive you will remember.
  7. Once saved, you can sort and filter however you need. Some of the key fields are:
    1. Employ Status = FT or adjunct
    2. Terminated = Whether or not the employee has a termination form.
    3. Form Status = Final or Draft
    4. Evaluation Current Status = Pending means it is still in progress, Complete means the Dean has marked the form done
    5. Faculty Credentials = This is the workflow status. 2 means the workflow is still running, 5 means the workflow is complete, and 4 means the workflow was canceled by me. **If you see an "Evaluation Current Status" as Complete but the Faculty Credentials has a 2, please let Amy know. That means something is hung up in the workflow.
    6. Created = the date the form was created. Compare this to the other fields. If the form is still pending and the date is 2018, there is something wrong. Let Kathy and Amy know.
    7. Name2 (Column M) and Soft Docs URL (Column N) = Name2 lists the credentials the employee has and Soft Docs URL lists the link to that credential in SoftDocs. Tip: Widen both columns so the text doesn't wrap and you will be able to see what is missing easily. (See below)
